Loan rules

FOR STUDENTS and STAFF:

  • Students and staff may borrow up to 20 items.
  • Books are loaned for 2 weeks and can be renewed once.
  • Loans of Videos, CDs and tapes are limited to 3 items (of each type) and can be borrowed for 3 days.  These items cannot be renewed.
  • Fines will apply to any late returns or lost items.
  • You are repsonsible for all materials checked out to your account.  The library strongly advises against loaning items you have borrowed to another person.  In the event of loss or a late return, you will be liable for the applicable fines.
FOR FACULTY:
  • Faculty may borrow up to 30 items. 
  • Books are loaned for up to 90 days with no renewals.
  • Books on loan to faculty are subject to recall after one week.  If another user requests a recall, you will be notified and given a reasonable amount of time to return the item to the library.  You can reclaim recalled items after one week.
  • Loans of Videos, CDs and tapes are limited to 3 items (of each type) and can be borrowed for 3 days.  These items cannot be renewed.
  • Faculty may borrow selected journals, limited to 3 items for 3 days.  Journal loans cannot be renewed.
  • Fines will apply to any late returns or lost items.
  • You are repsonsible for all materials checked out to your account.  The library strongly advises against loaning items you have borrowed to another person.  In the event of loss or a late return, you will be liable for the applicable fines.


Library cards
Your AUS ID card serves as your borrowers card.  Family members of AUS faculty over the age of 16 can use the ID card, or can apply for their own card at the library circulation desk.  Borrowing privileges are extended only to AUS students, faculty, staff and family members in residence, but others may use the library's resources on the premises.

Renewals
If you need additional time to finish a book, you can renew the loan.  Books may be renewed once by returning the item to the library information desk, or by telephoning the library information desk during the library’s normal hours of operation. Renewal will be for the same time period as the original loan.  To renew, you will need to provide your ID number, correct details regarding the author and title of the book and the book barcode number. 

Students can apply to the University Librarian for a second renewal, and it may be granted based on academic justification.  There will be no second renewal by telephone.  Second renewal will be for the same time period as the original loan, or until the end of the academic term, whichever comes first.  There will be no third renewals.

RENEWAL RULES:

  • An overdue book cannot be renewed by telephone.  All overdue books must be returned to the circulation desk. 
  • Fines for late renewals are the same as for late returns.


Fines and Overdues
All Library borrowers are responsible for the safe and timely return of library materials. It is a courtesy and sign of respect to your fellow scholars to return items on time. 

When items are seriously overdue, courtesy notices are sent.  However, failure to receive a notice does not excuse a user from overdue fines.  Fines apply equally to students, faculty and staff.

NOTE: You are repsonsible for all materials checked out to your account.  The library strongly advises against loaning items you have borrowed to another person.  In the event of loss or a late return, you will be liable for the applicable fines.

FINES AND REPLACEMENT CHARGES:

  • Fines for regular overdue materials ---- 1 Dh. per day for the first 20 days, 3 Dhs. for the next 10 days.  After that time the item will be declared missing and a replacement fee will be charged. 
  • Fines for reserve items ---- 1 Dh. per hour up to 10 hours.  After that time the item will be declared missing and a replacement fee will be charged.
  • Replacement fee ---- Borrowers will be charged a replacement fee for items that are missing, lost or damaged beyond repair. This fee will include the current cost of the item, PLUS 75 Dhs. (more for sets and rare materials) for processing and shipping.
  • Borrowing privileges will be revoked when fines and/or replacement charges reach 100 Dhs. or if you have one unpaid replacement fee.
  • Students who have unpaid fines at the end of a semester will not receive their grades, and will not be allowed to register for classes the following semester. Students who have graduated or transferred will not be able to receive transcripts until any outstanding library fines have been paid.
  • PAYMENT: Pick up a fines form from the library, take it to the Cashier's Office on the Mezzanine level of the Main Building to pay your fine, then bring the stamped form back to the library to clear your fine.


Reserves

FOR STUDENTS:
Your professors will often place items "on reserve" in the library.  This means that you must ask for the article or book at the Circulation Desk near the door of the library.  Since many students need to share these items, they can usually be used for only 2 hours and they may not be taken from the library.  In most cases, reserve items can be photocopied.

Under some circumstances, reserve materials can be taken from the library overnight or through a weekend.  In such cases, materials must be borrowed within one hour of closing time and returned within one hour of the library’s next opening. Fines for reserve materials will be 1 Dirham for each hour late; 1 Dirham per page for loss of a photocopied article; and full replacement cost plus 50 Dhs. for loss of a book, tape or similar item. 

You must give us your ID card in order to use reserve materials.

FOR FACULTY:
Items can be placed on reserve at your discretion. Normally, reserve items can be used for up to two hours and only within the library.  Faculty may specify other reserve conditions if necessary. 

Library books and recordings can be placed on reserve by completing a reserve form (available at the library), or by providing complete details to the library staff.  Reservations for more than 10 items per class will be kept on the regular shelves and the library computers will be set not to allow borrowing of the specified items.  Reservations for 10 or fewer items will be kept at the information desk, and handed to students on request. 

Articles can be placed on reserve by submitting three photocopies of the article to Lineth Dias at ext. 2252.. 

Items which are the personal property of a faculty member can also be placed on reserve.  The library will take all reasonable measures to safeguard personal reserve items. 

Articles and personal property reserves will be returned to you at the end of each semester.

Interlibrary Loans and Document Delivery

Books and journals not held by the library can be obtained by Interlibrary loan (ILL).  While there is no limit on items per faculty member per semester, larger requests may need special approval from the University Librarian and the academic department.  All requests for ILL should be placed after consulting with one of the reference librarians.

Students can get items through ILL when their research requires.  All student requests for ILL should be made through one of the reference librarians.
 

After hours book return

You can return books even when the library is closed.  A book return box or "book drop" is located outside the main building.  It's near the bookstore on the covered walkway at the east side of the main building.  The box is emptied every morning. Books returned to the book drop are counted as received the previous evening.  Please use the box only for the return of library materials.  Fragile items such as videotapes and CDs should be returned directly to the library desk.

Orientation tours and Library Instruction

Library tours, orientation sessions and classes can be easily arranged.  Students can contact the reference desk for individual or group orientations.  FACULTY should contact Lorin Ritchie or Rex Steiner to arrange research skills instruction customized to meet your students' needs.  We can offer general INFORMATION LITERACY training, as well as subject specific information instruction.

Off campus access

Most of the library's resources, including this set of web pages, can be accessed from off campus.  Passwords are required for access to some of the databases.  Please visit the library with your ID card to get passwords and additional information. 

Special Collections

The Special Collections Room has been established to store items whose value or content requires special handling.  Policies related to Special Collections can be found in the document, Policies for Selection, Storage and Circulation of Special Collections Materials, available from the University Librarian. 

Special Collections is open to all AUS students and faculty, other staff may use the collection with approval of the University Librarian. Students using the Special Collections Room must sign in and agree to the policies governing access prior to using the collections.  Special Collections is available at all times when the library is open. 

Archives
The library has assumed responsibility for storing archival materials related to the history and development of AUS.  Currently, access to the archives requires approval of the University Librarian.  Departments and individuals are encouraged to cooperate with the collecting process.  Suggestions and appropriate donations to the archives are welcomed.  Contact the archives office at ext. 2269 or e-mail to archives@aus.ac.ae for more information on how we can build this important legacy for our future.
